The In-N-Out Burger Community Engagement team has an excellent opportunity for a temporary Community Engagement Systems Coordinator based at our Irvine, CA* office. This is a full-time, two-year contract role through 2027. 

This temporary role reports to the Community Engagement Programs Manager and provides essential support for technology initiatives within the Community Engagement department. Responsibilities include managing project documentation, assisting with requirements gathering, coordinating vendor demos and meetings, and supporting execution efforts to ensure projects stay on track.  

This role works closely with the Systems Administrator and Project Manager to maintain organization, ensure timely progress, and support smooth transitions between project phases—resulting in seamless and well-coordinated delivery of both current and future initiatives. 

General Responsibilities 

Pre-Project Planning & Documentation 
  • Own the documentation for pre-project planning, including team shadowing, process documentation, and requirements gathering. 
  • Maintain department software tracker with current technology solutions for the department. 
  • Research viable solutions for department technology or process needs, and arrange demos for team members, helping narrow down to preferred options. 
  • Start drafting initial project charters for upcoming technology projects. 

Scheduling & Coordination 
  • Schedule meetings with project stakeholders, ensuring conference rooms are booked and vendors are included as necessary. 
  • Oversee the creation and updating of SOPs and data flowcharts in LucidChart, ensuring all relevant stakeholders have access to accurate project documentation.

Project Execution & Oversight 
  • Support the relationships with software implementation partners (such as Rosetree & Fionta) to ensure current projects move forward on time and according to plan. 
  • Oversee data integrity within technology platforms, including managing data import/export processes and data removal/archival. 
  • Keep Asana tasks updated, provide weekly status updates on projects, and move deliverables along through phases. 
  • Communicate effectively cross-functionally and inter-departmentally, encouraging technology user adoption and cohesive process management. 
  • Respond promptly to emails & MS Teams messages, especially when working with project stakeholders or external vendors.

Vendor & Solution Research 
  • Assist in researching and evaluating technology solutions for departmental needs, leveraging reputable sources and input from the IT team. 

Work Schedule + Pay Details  
  • Temporary assignment, 2 years through 2027 
  • Full-time, Hourly, Non-Exempt  
  • Office Hours in Irvine, CA: Monday-Friday, 8:00 am-5:00 pm  
  • Hourly Rate: $30.00 - $35.00 
  • The above represents the expected pay range for this job requisition. Ultimately, in determining your pay, we will consider your experience and other job-related factors. 

Qualifications 
  • Bachelor’s degree in Business, Information Systems, Technology Project Management, or a related field.  
  • 2–4 years of experience in project coordination, business analysis, or systems support. 
  • Project Management certification highly preferred. 
  • Strong communication and collaboration skills across all levels of the organization. 
  • Skilled in documentation, requirements gathering, and process mapping. 
  • Experience coordinating meetings, vendor demos, and supporting technology initiatives. 
  • Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. 
  • Proficiency in Microsoft Office and project tools such as Asana; familiarity with LucidChart and Cvent a plus. 
  • Experience with nonprofit systems (e.g., CRM, donor management, event registration, fundraising software, or other SaaS tools); Salesforce highly preferred. 
  • Strong analytical, problem-solving, and decision-making skills. 
  • Stays calm and flexible while handling multiple high-priority projects under pressure. 
  • Passion for community service and mission-driven work. 

Work Location Details 
In-N-Out Burger plans to bring its west coast headquarters team back together under one roof by the end of 2029. After maintaining two Southern California office locations for many years, the company will permanently close its Irvine office in 2029 and once again headquarter the company’s western territory solely in Baldwin Park, California, where the company was founded in 1948. 

Newly hired Associates in Irvine will be eligible to participate in the group move to Tennessee with relocation assistance or work from our western headquarters in Baldwin Park, CA, upon its opening in 2029. The In-N-Out Burger Foundation was established in 1995 with the goal of raising funds to assist abused and neglected children in the communities where we live and do business.   

In 2016, the Slave 2 Nothing Foundation was established to educate and assist in solutions to eliminate human trafficking as well as focus on those needing treatment, rehabilitation and prevention from drug/alcohol abuse. Our Fundraising Team supports both foundations with small and large scaled fundraising efforts as well as collaborating with Community Impact on volunteer opportunities for our In-N-Out Burger Associates and their families.
