We have an excellent opportunity for a full-time All Star Coordinator in our All Star (New Stores) department in Irvine, CA.  The All Star Coordinator will report to the Head of All Stars, and will primarily support the team of All Star associates with the coordinating of In-N-Out Burger’s New Store openings.  Basic support of the All-Star Department and Head of All Stars is also required.  

The All-Star department plans and executes all logistics for opening a new In-N-Out Burger restaurant.  They coordinate travel for In-N-Out associates to various states and city locations, prepare supplies, coordinate deliveries, and provide other needs for the All-Star team and the New Store.


General Responsibilities - Administrative
Provide high-level administrative support - such as heavy calendaring, creating PowerPoints, excel, invoices and reporting - to New Stores and the All-Star department
Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of the All Star team
Assist with sending flyers/memos/calendar appointments/PowerPoints, etc. for New Stores, the department, and for the Head of All Stars
Order office equipment and supplies for new store openings and package/wrap on pallets for new store openings
Ensure inventory is prepared for new stores; assist with planned closures and fumigations  
Review and process Associate reimbursement requests
Manage All Star related communications to both associates as well as restaurant operations
Providing administrative support to Head of All Stars and the New Stores department

General Responsibilities – Travel/Travel Booking
Arranges travel and accommodations for All Star team, including booking flights, hotels and rental cars
Book travel transportation and accommodations for All Star associates
Maintain regular communication with hotels as it pertains to arrival and departure of Associate occupants
Review and process Associate per diem requests for accuracy and answer any related questions from In-N-Out Burger stores
Process and manage hotel invoices for room charges and parking fees in Concur accounting system




Work Schedule + Benefits
Full-time position, Hourly (non-exempt)
Pay Range is: $30.38 - $34.00 per hour 
The above represents the expected pay range for this job requisition. Ultimately, in determining your pay, we will consider your experience and other job-related factors.
Office Hours in Irvine, CA: Monday-Friday, 8:00 am-5:00 pm 
Department needs will call for occasional evenings and weekends
Travel time: It is anticipated that 10-15% of the work time will be spent in the field and will require overnight and weekend travel to other states where In-N-Out Burger operates

Qualifications
2-3+ years work experience as an Administrative/Office Assistant, Executive Assistant, Travel Assistant, or similar role
Advanced proficiency in Microsoft Office; Skilled with using MS products such as Outlook, Word, PowerPoint, Excel and OneNote
Bachelor’s degree preferred 
Experience with Event Planning, or as a Travel Agent, is highly preferable – this role requires a lot of booking travel, hotels, hotel group bookings, organizing events, etc.
Experience with corporate travel booking systems preferred (SWABIZ)
Ability to travel to other states for New Store openings
In-N-Out Burger restaurant experience (current or past), or All Stars experience highly preferred
Experience working in restaurants preferred 
Excellent communication and time management skills; proven ability to meet deadlines
Flexibility and strong organizational skills are essential
Professional communication skills, including phone skills and excellent customer service 
Must be a quick learner, self-starter, able to work independently while contributing to the success of the team
