We have an excellent opportunity for a full-time Administrative Assistant II on the Incentive Trips and Travel team. The admin will work in the Incentive Trips and Travel department in Irvine, CA. and reports to the Incentive Trips and Travel Manager. 

 

*This role is a full-time, in office position.  

 

General Responsibilities 

  • Responsible for administrative tasks and projects for the Manager of the Incentive Trips and Travel department, such as heavy calendaring, scheduling meetings, answering phones, handling requests, and drafting and managing correspondence 
  • Help manage department calendars, schedule and assist with planning meetings and team building activities, community service projects and workshops including location and logistics.  
  • Prepare meeting materials, including agendas, PowerPoint presentations and collection of relevant data from other team members. 
  • Book travel and process expenses using Concur. 
  • Work with budgets in MS Excel. 
  • Coordinate department special events, such as parties and lunches, birthdays and anniversaries, welcoming of new department hires including onboarding plans. 
  • Develop strong working relationships throughout the company as an extension of the Department Manager. 
  • Keep department and company information confidential with the highest degree of integrity 
  • Collaborate with other departments or functions. 
  • Be part of a team-oriented department and assist in other areas as needed.  


Work Schedule + Benefits 

  • Full-time, Non-Exempt 
  • Salary Range: $28.00 - $31.00 per hour 
  • The above represents the expected salary range for this job requisition. Ultimately, in determining your pay, we'll consider your experience and other job-related factors.  
  • Office Hours in Irvine, CA: Monday-Friday, 8:00 am-5:00 pm  
  • Department needs will call for occasional evenings and weekends

Qualifications 

  • 2-5+ years of experience in a high-level Administrative Assistant, Executive Assistant or relevant role required. 
  • Must be a self-starter and demonstrate a high degree of confidence and ability to anticipate needs and execute when necessary. 
  • Passion for providing excellent administrative and clerical support to the department. 
  • Strong computer proficiency in MS Office (Word, Excel, Outlook, PowerPoint). Asana and Concur a plus.  
  • Excellent oral and written communication skills. 
  • Act as a trusted partner to management, displaying the highest levels of integrity and handling highly sensitive and confidential information. 
  • Strong customer service skills and the ability to interact with all levels of internal and external customers in a positive and professional manner. 
  • Excellent time management skills organized and the ability to prioritize work. 
  • Ability to work autonomously/independently under general supervision. 


Work Location Details

In-N-Out Burger plans to bring its west coast headquarters team back together under one roof by the end of 2029. After maintaining two Southern California office locations for many years, the company will permanently close its Irvine office in 2029 and once again headquarter the company’s western territory solely in Baldwin Park, California, where the company was founded in 1948.

Newly hired Associates in Irvine will be eligible to participate in the group move to Tennessee with relocation assistance or work from our western headquarters in Baldwin Park, CA, upon its opening in 2029.
