We are seeking a highly motivated Payroll Supervisor to oversee the Payroll Department’s daily operations and ensure accurate and timely processing of our fully in-house, bi-weekly payrolls for 39,000+ Associates. This role will use existing systems to collect, review and report on payroll related information to ensure accurate calculation of wages, tax withholdings, and other deductions. They will oversee the printing and distribution of pay checks, process direct deposits and provide training on policies, procedures and wage and hour laws. This role will report to the Payroll Manager and work alongside other Payroll Supervisors. They will lead a team of Payroll Accountants and will be responsible for monitoring productivity, accuracy and completeness of their work and be the first level of escalation for complaints and complex problem resolution. This role requires advanced organizational skills, sharp attention to detail, a strong numerical aptitude and a high degree of competence in current technology. The ideal candidate must have excellent communication and customer service skills and be experienced in analyzing payroll data and performing regular payroll audits.


*This position is 100% in office and will be based in Irvine, CA.


 

General Responsibilities:

  • Supervise a team of payroll professionals in payroll related activities based on the defined processing schedule, ensuring timely close of payroll and coverage for daily, weekly, monthly, quarterly, and holiday processing requirements.
  • Process and oversee our full cycle (multi-state) payroll for 39,000+ Associates, on a bi-weekly and off-cycle basis.
  • Audit payroll information for accuracy.  Validate data from inbound integrations is received and fully processed.  Verify the calculation of wages, tax withholdings, and other deductions.
  • Use available resources to maintain a thorough knowledge of and ensurs strict compliance with all federal, state, and local payroll laws as well as Company policies and standards.
  • Maintain a high level of knowledge related to our payroll systems, integrations and peripheral applications.  Know how to best utilize technology to improve processes, increase efficiency and ensure accuracy.
  • Develop staff and provide growth opportunities. Provide regular performance feedback to staff through established evaluation processes and one-on-one meetings. 
  • Serve as a primary point of contact for payroll escalations.  Assist team when necessary to resolve difficult customer service-related issues, answer complex questions for the team when they arise.
  • Review final payments prior to disbursement; ensure audits are in place to confirm they are calculated correctly and paid on time.  Individually, calculates and processes final pay payments as required. 
  • Audit Associate transactions such as new hires, transfers, promotions, and terminations.  Utilize reports to identify payroll related transactions and that they are accurately and timely reflected in the payroll system.
  • Maintain the confidentiality of all employee information and payroll records.
  • Foster a team environment and leadsby example.
  • Stay abreast of best practices, new trends, regulations, technology and innovations related to the payroll function.  Recommend improvements to payroll processes and procedures.
  • Assist in year-end activities such as tax reconciliation and W2 processing with ADP and reviewing tax rates for the new year.

Work Schedule + Benefits

  • Pay Range is $91,000 -$115,000
    The above represents the expected pay range for this job requisition.  Ultimately, in determining your pay, we will consider your experience and other job-related factors.
  • Office Hours: Mon-Fri, 8:00 am-5:00 pm

Requirements:

  • CPP or Bachelor’s Degree in Business, Accounting, Finance or a related field
  • 5-7 years of experience in payroll processing
  • 2-4 years of experience in a supervisory role
  • Advanced Excel skills - Pivot Tables, VLOOKUP, etc.
  • Advanced knowledge of wage and hour laws
  • Strong analytical and problem-solving skills
  • Detail-oriented, extremely accurate, can easily identify discrepancies
  • Ability to organize a team to be productive and efficient
  • Ability to work in a fast-paced environment and meet deadlines
  • Ability to work independently and manage multiple priorities
  • Excellent communication and customer service skills
  • UKG Workforce Dimensions, or Oracle Payroll/Time and Labor experience preferred
