We have an excellent opportunity for a full-time Maintenance Project Coordinator II based in our Baldwin Park, CA facility. The Maintenance Project Coordinator will report to the Service Maintenance Manager and is responsible for providing administrative support, and assisting in facilitation of installs and preventative maintenance at In-N-Out Burger restaurants.

General Responsibilities

Coordinate install projects and preventative maintenance work orders by responding to inquiries from internal and external contacts, escalating issues when necessary
Maintain appointment calendars, schedule and coordinate meetings, events, and training (includes assisting with travel arrangements)
Provide administrative support to Manager and Supervisors in working with subcontractors, vendors, proposals and change orders on current projects
Answer phone calls and redirect to appropriate department or team member; greet and refer visitors to the Maintenance office
Enter data into appropriate spreadsheets and databases to produce correspondence and reports
Process and distribute incoming and outgoing email and mail; prepare documents for outbound mail or distribution
Create, update, and maintain records, ensuring accuracy and confidentiality; file documents and follow record retention policies
Review and maintain notices, waivers, and releases
Process invoices, credit card statements, and purchase orders; and ensure submission deadlines are met
Provide administrative support in obtaining business licenses and permits for construction and store operation
Provide OSHA support to Manager

Work Schedule + Benefits

Full-time position, Hourly (non-exempt)
Pay Range is $30.90-$35.50 per hour
The above represents the expected pay range for this job requisition. Ultimately, in determining your pay, we will consider your experience and other job-related factors.
Schedule: Monday – Friday; (5) five days a week
Hours: 7:00 am–3:30 pm

Qualifications

3-5 years' experience as an office clerk or coordinator, or field experience with installations/preventative maintenance; required
High School diploma or GED required
Some college / Associate's degree or equivalent; preferred
Knowledge of construction terminology; required
Computer proficiency in Microsoft Word, Excel and Outlook
Experience with construction management software; preferred
Excellent verbal and written communication skills
Demonstrated professionalism and accommodating manner, both on the phone and in personal contact
Strong interpersonal skills and the ability to interact with all levels of management; must posses excellent customer service skills
Ability to multitask and balance multiple projects
Demonstrated ability to be flexible and highly adaptable to constant change based on business objectives
Ability to handle a variety of tasks simultaneously, be self-directed, and possess excellent time management and organizational skills
Capability to work autonomously and independently, yet be an integral part of a collaborative team
Ability to maintain confidentiality
