We have an excellent opportunity for a full time Lead Event PlannerCharitable Events team based in our Irvine, CA* office. The Lead Event Planner, Charitable Events will report to the Events Manager.  This person will be in the Travel & Events department, and will help plan fundraising events for In-N-Out Burger’s two foundations: The In-N-Out Burger Foundation and Slave 2 Nothing Foundation.

*This position is full-time, in-office only.

General Responsibilities
  • Manage and lead event planners on the Charitable Events team
  • The Charitable Events team plans fundraising events such as: Golf tournaments, 5k events, Charity concerts, and other special fundraising events to raise awareness and funds for In-N-Out Burger’s two foundations: In-N-Out Burger Foundation and Slave 2 Nothing Foundation
  • Leadership and Supervisory skills – Will manage a team of direct reports who are Event Planners 
  • Coach, mentor and develop staff; responsible for performance management of direct reports
  • Lead team of event planners to meet the organization’s expectations; provide effective performance feedback
  • Will work closely with the Community Engagement department, which supports both Foundations 
  • Handle logistics of all fundraising events, to include contracts, rentals, food and beverage, décor, event flow and layout, etc.
  • Assist with on-going communication with operations personnel regarding event date, location, and other logistics 
  • Create and manage communications for event attendees
  • Proven negotiation skills and diplomacy with vendors to meet company objectives 
  • Work on a project from inception through completion
  • Create process improvements for event planning efficiencies 
  • Help with onsite and “day-of-event” activities and operations 
  • Assist and support the Travel & Events Department as necessary 

Work Schedule + Benefits
  • Full-time, Exempt 
  • Office hours in Irvine, CA: M-F, 8:00 am – 5:00 pm
  • Travel time: It is anticipated that 15-25% of the work time will be spent in the field and will require overnight and weekend travel
  • Schedule can change when there is an off-site event taking place that requires this individual to assist with the set-up and final arrangements
  • Department needs will call for occasional evenings and weekends; be able to work over an 8-hour work day to perform events

  • Minimum 5-7 years of event planning experience in the Fundraising, Nonprofit, or Charity events space
  • Experience planning fundraising events, such as: Golf tournaments, Silent auctions, 5k runs, fundraising dinners and galas, charity concerts, etc.
  • ** Must have experience in planning: Charity Golf tournaments (mandatory)
  • 2-3+ years experience in a leadership or supervisory role, managing a team of direct reports
  • Team Management/Supervisor/Leadership experience – will manage a team of Event Planners; will be responsible for assigning work, managing employee performance, providing leadership support and development (required)
  • Bachelor’s degree in Event Planning, Communications, Philanthropy, Hospitality or Hotel management or relevant field is preferred
  • Experience planning large golf tournaments is required
  • Impressive portfolio of previously managed fundraising and nonprofit events 
  • Strong experience with vendor management, reviewing contracts, and managing rentals
  • Certificate in Meeting & Event Management preferred, but not required
  • Strong time management and interpersonal skills 
  • Exceptional on-site event operation skills 
  • Highly motivated self-starter and ability to work independently 
  • Ability to analyze situations and make decisions with minimal oversight 
  • Excellent written, verbal and phone communication skills; communication with all levels of management 
  • Ability to work autonomously/independently, yet be an integral part of an overall team environment 
  • Knowledge of Microsoft office software, including Word and Excel
  • Online registration, attendee registration, and project management systems experience a plus 

Physical Requirements:
  • Must be able to stand and walk for long periods of time during events
  • Must be able to lift up to 50 pounds at times
  • Must be able to work a variety of hours in order to accommodate events
