The In-N-Out Burger Charitable Events team has an excellent opportunity for an Event Planner I, based out of our Irvine, CA* office. This position will report to the Charitable Events Manager and will be a team member of the Community Engagement Department, which includes the In-N-Out Burger Foundation, Slave 2 Nothing Foundation, Fundraising and Volunteer teams.  The Charitable Events team plans fundraising events such as: Golf tournaments, 5K events, Charity concerts, Dinners and Galas, Community Service events, and other special fundraising events to raise awareness and funds for the foundations.    

*This position is full-time, in-office only

General Responsibilities
  • Plan and coordinate execution of all aspects of charitable events from inception to completion, with guidance and direction from leads/supervisor and senior team members.
  • Create and maintain logistics documents for events (i.e. vendor contracts, rental agreements, food & beverage, decor, event flow/layout, etc.). 
  • Monitor event expenses to ensure they fall within defined budget constraints.
  • Review, select, and manage production company for events.
  • Create and coordinate vendor contracts; and oversee and manage vendors during events.
  • Research new vendors and new site locations while continually identifying opportunities for improvement and efficiency. 
  • Provide pre-event and on-site support for company events as needed; and assist with "day-of-event" activities and operations.
  • Create and manage communication for attendees.
  • Manage internal partners for events and provide ongoing communication with operations personnel regarding event details (i.e. date, location, logistics, etc.).
  • Coordinate travel/accommodations for those supporting events. 
  • Will provide ongoing support for fundraising events, while working closely with the Community Impact team to help foster volunteer opportunities for associates. 
  • Assist and support the Travel & Events department as needed. 

Work Schedule + Benefits
  • Full-time, Exempt
  • Pay Range is $63,500-$75,000
    The above represents the expected pay range for this job requisition. Ultimately, in determining your pay, we will consider your experience and other job-related factors.
  • Office Hours in Irvine, CA: Monday-Friday, 8:00 am-5:00 pm 
  • Department needs will call for occasional evenings and weekends
  • Travel time: It is anticipated that 20% of the work time will be spent onsite at fundraising and Community Engagement events; out-of-state travel may be required

Qualifications
  • High School diploma or GED (required) 
  • Bachelor’s degree in Business, Marketing, Communication, Hospitality, Event Planning, or equivalent (preferred)  
  • 1-3 years' experience in event planning (required) 
  • Previous experience in planning charity golf tournaments (strongly desired) 
  • Exceptional on-site event operation skills 
  • Proven negotiation skills and diplomacy with vendors to meet company objectives   
  • Strong proficiency in Microsoft Office, including Word, Excel, PowerPoint and Outlook  
  • High degree of competency working with Cvent and Project Management tools (i.e. Asana) 
  • Excellent written and verbal communication skills; communication with all levels of management 
  • Excellent organization skills and attention to detail
  • Excellent time management skills and ability to multi-task 
  • Strong analytical and problem-solving skills
  • Ability to thrive in a fast-paced environment
  • Strong desire to uphold the ideals of Community Service
  • Ability to lift up to 50 pounds 
  • Valid CA Driver's License (required)

ABOUT the Community Engagement department

The In-N-Out Burger Foundation was established in 1995 with the goal of raising funds to assist abused and neglected children in the communities where we live and do business.  

In 2016, the Slave 2 Nothing Foundation was established to educate and assist in solutions to eliminate human trafficking as well as focus on those needing treatment, rehabilitation and prevention from drug/alcohol abuse. Our Fundraising Team supports both foundations with small and large scaled fundraising efforts as well as collaborating with Community Impact on volunteer opportunities for our In-N-Out Burger Associates and their families.
